Painting estimates, colors and lead-safe forms, signed

A color nobody wrote down or a wall nobody priced can turn a good painting job into an argument. SignMaster gets the estimate, the colors and the changes signed while you're standing in the room, and keeps the lead-safe paperwork for older homes where you can find it.

From estimate to final walk-through

  1. 1

    Estimate accepted

Rooms or elevations, surfaces, coats, prep work, products and price. The customer signs on your phone before you leave, or from a link that evening.

  2. 2

    Lead-safe acknowledgment

For homes built before 1978, the owner's written acknowledgment that they received EPA's lead pamphlet. The rules are below.

  3. 3

    Colors signed off

Room by room: the color name and number, the sheen, and the customer's initials beside each.

  4. 4

    Change orders

Drywall repair you found under the wallpaper, an extra room, a ceiling. Priced and signed before the brush touches it.

  5. 5

    Final walk-through

The touch-up list and the customer's sign-off that the job is done.

Lead-safe paperwork for pre-1978 homes

EPA's Renovation, Repair and Painting (RRP) Rule covers paid work that disturbs painted surfaces in homes, child care facilities and preschools built before 1978. Firms doing that work must be EPA-certified, sole proprietors included, and workers must be trained in lead-safe practices.

  • The pamphlet. No more than 60 days before work starts, give the owner EPA's Renovate Right pamphlet.
  • The proof. Get the owner's written acknowledgment that they received it, or a certificate of mailing at least 7 days before the work.
  • The records. Keep them, including signed acknowledgments, for 3 years after the job is finished.
  • Small jobs. Disturbing 6 square feet or less of paint per room inside, or 20 square feet or less outside, can count as minor repair and maintenance. Window replacement and demolition never do.

Add the acknowledgment to the same envelope as your estimate. An envelope is SignMaster's word for one send: one or more documents going to one or more signers. The owner signs both together, and the completed PDF keeps its certificate and audit trail, so the record is easy to find when you need it.

SignMaster records the signature. It doesn't certify your firm or decide how the rule applies to a job. Read EPA's rule, and ask your lawyer if you're unsure.

Color sign-off without the guesswork

Build a color template once: a row per room with fields for the color, a dropdown for the sheen and an initials field. The customer fills or confirms each line and signs. If an HOA has to approve exterior colors, add an attachment field so the customer can upload the approval while they sign.

Calculated fields handle the math on estimates and change orders, like square footage times your rate. Conditional fields can show the cabinet lines only when the cabinets box is ticked. Alana, the AI assistant, can fill a draft from one sentence, and nothing is sent until you press send.

Choose Sign in person and hand over your phone or iPad. The customer is guided field by field, and in the iPhone and iPad app only your Face ID or passcode gets you back out. Customer away? They sign from a link on any phone or computer with no account. Both work in the same envelope, so one homeowner can sign now and the other later.

Spanish-speaking customers read the signing page, emails and consent in Spanish, among 6 signer languages. Bulk send seldom fits residential painting, but it's on every paid plan for repaint offers to past customers or property managers.

Pricing

Free covers 3 envelopes a month for one person. Solo is $15 a month with unlimited envelopes. Crew is $49 a month for 5 people, so estimators and crew leads can all send, and each extra person is $8 a month. New workspaces get 14 days of Crew free, no card. See every plan.

What SignMaster doesn't do

  • It doesn't measure rooms, estimate paint or show color previews.
  • It doesn't take deposits or payments.
  • It sends signing requests by email, not text. You can copy a customer's link and text it yourself.

Questions? Answers.

Can I get the lead pamphlet acknowledgment signed with the estimate?

Yes. Put both documents in one envelope and the owner signs them together. Timing and record-keeping rules still apply, so check EPA's rule for your job.

How do I get paint colors approved in writing?

Use a color template with a line per room and an initials field on each. The signed copy goes to you and the customer.

Can customers sign the estimate after I leave?

Yes. Send it by link. They sign on any phone or computer, and automatic reminders follow up if they don't.

Can I collect a deposit when the estimate is signed?

Not in SignMaster. It handles signatures, not payments, so take the deposit the way you do today.
